Background

After I left NAAMTA for Ivanti, the program director contacted me about a freelance project. She and the company owner had plans to expand NAAMTA's international offering through a recently acquired organization called the International Air Ambulance Alliance (IAAA).

The ask was specific: redesign the QMS booklet I had originally written during my full-time tenure. The first version was handed out at the 2013 Air Medical Transport Conference (AMTC) and served as a brief overview of the IAAA. It got the job done, but "brief overview with few details of substance" is a diplomatic way of saying it needed more work. This time, they wanted a booklet with real content--IAAA branding, material tailored to an international audience of air ambulance professionals, and production quality that matched the ambition.

The finished booklet would be distributed at the 2014 International Travel & Health Insurance Conference (ITIC) tradeshow in Venice, Italy. Fixed deadline, global audience, and a printing house with opinions about paper weight. (Printing houses always have opinions about paper weight.)

I redesigned the entire layout in Adobe InDesign, wrote new copy or adapted existing NAAMTA marketing material to fit the international context, replaced all visual media with relevant stock photos, flow diagrams, and vector images, and coordinated directly with the printing house on production specs. The content covered accreditation standards, regulatory compliance frameworks, and quality management systems for international air medical transport. The final product was a significant step up from the original--better content, better presentation, and a booklet that actually justified picking up off a tradeshow table.

What I Did

  • Redesigned the IAAA QMS booklet (final version) in its entirety, maintaining original branding and element styles while creating a new content structure and layout in Adobe InDesign.
  • Wrote new copy and adapted existing NAAMTA marketing materials to address an international audience of air-based medical transport professionals.
  • Replaced all visual media from the original booklet with new stock photos, flow diagrams, and vector images relevant to the IAAA's international positioning.
  • Mapped out topics, copy placement, and graphic containers for new page spreads to ensure a cohesive and professional presentation.
  • Communicated directly with the printing house to establish standards for paper type (weight and finish), size, and binding, improving upon the production quality of the original booklet.
  • Managed ongoing drafting, editing, and revision cycles, including daily self-edits, weekly management reviews, and version tracking.
  • Conducted interviews with subject matter experts, including the former IAAA owner, air transport company directors, and travel and health insurance brokers to inform content accuracy and relevance.
